Truck Air-System Maintenance Parts: RFQ Checks for Air Dryer Cartridges, Valves and Repair Kits

An air-system maintenance order becomes risky when every item is called a “valve kit” or “air dryer filter.” Commercial vehicles can use different cartridge families, port arrangements, electrical connections, repair-kit contents, and mounting layouts. A familiar shape is not enough to build a comparable quotation.

This guide is for buyers preparing repeat stock or a mixed service order. It does not replace vehicle service instructions. Its job is to make the RFQ clearer before suppliers price it. Identify the air-system item by function and interface

Start with where the item sits in the system and what connects to it. An air dryer cartridge is different from a purge-valve kit, relay valve, governor, fitting, or seal pack. For a valve, a front-facing photo may hide the port configuration. For a cartridge, the label and thread or mounting interface can matter more than the outside diameter.

ZF’s public WABCO air-dryer guidance explains why the function matters: compressed air can carry water into the system, where liquid water can damage seals and valves, wash away lubricant, or freeze in cold conditions. That supports a simple purchasing rule: do not treat air-treatment parts as generic consumables when the label or system location is unknown.

Separate cartridges from repair kits

Cartridges are often purchased as repeat items. Repair kits are more variable. A kit title may cover only seals and a spring, or it may include a valve body, cap, hardware, and other service parts. Ask for a bill of materials every time the word “kit” appears in a quote.

ZF’s maintenance manual for a WABCO dryer describes weekly checks for purge and moisture conditions and gives service intervals that vary by cartridge type, duty, compressor condition, and vehicle use. The transferable lesson is not a universal replacement interval. It is that usage and component type need to be recorded before a buyer treats two cartridges as interchangeable.

Compare the quotation by service scope

Use a table that forces suppliers to say what each line includes. This matters more than a generic description such as “air-system repair parts.”

For safety-related systems, avoid writing an article or RFQ that promises performance. Ask the supplier to clarify the quoted product, then follow the relevant vehicle and component service instructions for installation and testing.

Put the label photo and port photo in the same line folder

One photo rarely tells the full story. The label may show a useful reference but not the ports. The port side may show the interfaces but not the marking. Name the files with the buyer line number, for example A-014-label, A-014-port-side, and A-014-installed-position.

That practice sounds small, but it changes the quality of a supplier discussion. Instead of exchanging a chain of screenshots, both sides can point to the same item and state what remains unconfirmed.

When a supplier proposes a substitute

Do not reject every alternate automatically, and do not accept one automatically either. Ask the supplier to describe the proposed line separately: what the original request was, what the proposed reference is, what interface or kit-content changes exist, and what information is still needed from the buyer.

For stock orders, label the proposed alternate as a separate SKU until it has been approved through the buyer’s own process. That protects warehouse staff from receiving a carton whose label does not match the purchase line.

Receiving and packaging checks

Air-system parts are easy to mix because small seal packs, fittings, and repair kits can share cartons with larger cartridges or valves. Before stock is put away, sample the labels and preserve the kit grouping.

  • Match carton labels to buyer line numbers and full references.
  • Count individual seal bags and hardware packs against the BOM.
  • Check cartridge and valve housings for transit damage, loose caps, or contamination.
  • Photograph port covers, labels, and any substitute marking before opening a claim.
  • Keep repair-kit components together in a labelled inner bag or box.
  • Record whether a supplier has quoted a complete unit or service parts only.

Do not mix air-system stock by name alone

Warehouse labels should carry the complete reference and the buyer line number, not only phrases such as “dryer filter” or “valve kit.” A service counter may know the common nickname, but the carton has to survive handover between purchasing, warehouse, and workshop staff.

For a mixed container, ask each supplier to avoid combining loose seal bags with another item’s carton. A labelled inner bag is simple, but it can prevent a missing-repair-kit dispute later.

Data point: service intervals are component-specific

ZF’s published WABCO manual lists different routine intervals for standard and coalescing desiccant cartridges, and says the interval depends on usage, vehicle vocation, and compressor condition. The published examples are useful proof that air treatment has service context; they are not a universal interval to copy into a buyer’s catalogue. Keep any application-specific maintenance claim tied to its documented source and exact component family.

A simple order-control sequence

Start with label and system-location evidence. Then separate cartridges, complete valves, repair kits, fittings, and seals into individual buyer lines. Ask for BOMs on kits and interface information on complete units. Compare only after every supplier has completed the same fields. Before shipment, ask for label and packing photos that can be matched to the approved lines.

This sequence is deliberately ordinary. It avoids the common mistake of treating a complex air-system order as a collection of generic maintenance items. It also respects the boundary between sourcing control and service work: the buyer checks the supplied scope; installation and testing follow the applicable instructions.

How to use public articles without weakening the RFQ

Public manufacturer pages and workshop articles can be valuable index material. They may explain why moisture control matters, show the vocabulary used for a purge function, or identify a family of service items. Use them to frame a question, not to close it.

For example, a public air-dryer article may say that moisture can affect downstream valves and seals. The RFQ still needs the exact item label, interface photos, required kit scope, and supplier response. Save a useful public link in the research notes, but do not paste its conclusions into a purchase order as though they describe the buyer’s unknown part.

Keep the order record after delivery

Once an air-system order is received, retain the approved RFQ, quotation, label photos, packing list, and any inspection record in one folder. This is useful when a workshop asks for the same reference later or when a supplier proposes a replacement. It also prevents a familiar product nickname from becoming the only record of what was purchased.

Can a buyer quote an air dryer cartridge from a photo?

Use the photo with the full label, mounting or thread information, system context, and quantity. A photo alone does not establish cartridge family or service scope.

Are all valve repair kits complete valves?

No. Some contain only service pieces. Ask for the BOM and state whether the buyer needs seals, a repair kit, or the complete valve.

Why should port information appear in an RFQ?
